What standards do you use to ensure quality?

To ensure the highest quality medical transcription we follow the rules and guidelines set forth by The Association for Healthcare Documentation Integrity (AHDI), in conjunction with the Joint Commission on Accreditation of Healthcare Organizations (JCAHO).

What is TAT or turnaround time?

All transcription will be returned to you electronically within 24 hours unless Otherwise specified by our clients.

Do I have to sign a long-term contract?

DBPMTs does not required a written contract, you will be able to start within 10 to 15 minutes of notifying us with the required set-up information. A satisfied client is a our goal. At DBPMTs we are dedicated to providing the highest quality service at the most competitive price.

Are you HIPAA compliant?

All our processes not only meet HIPAA but Hi-Tech as well and are in all cases 100% compliant. Every file is 128-bit encrypted. All file transfers use secure SSL/socket layers, which is the highest level of secure internet connection available.

How can I do my dictation do you have any recommendations?

Regardless of what method you use to dictate your medical records DBPMTs has the solution. If you have handheld digital voice recorders (DVR) or PDA such as a Blackberry handheld digital voice recorders have unlimited mobility and superior audio quality. Phone-in based digital dictation is also available as well as secure voice file transfer. How do I submit my dictation?

Most PDA or DVR's have cradles which attached to your computer or connect to your computer with a USB cable. The file transfer process takes just a few minutes, depending on the size of your files. Your dictated voice files will automatically be sent to DBPMTs secure server through our secure HIPAA/SSL connection. All files uploaded to our server are 128-bit encrypted providing the most secure method available to transfer voice/audio files.

How do I receive my transcription?

There are several ways you can receive your transcription back. One way is through our secure web based file transfer. A folder is setup on your desktop mapped to DBPMTs secure server. Simply double click on the folder and you will have instant access to all your transcribed files. The second method is for us to either import or type directly into your EMR/EHR system. We provide tailored service to each of our clients which gives us both flexibility and practical knowledge of available technologies to meet your individual needs.

What kind of software do I need?

Any computer running windows 2000, XP, Vista, Windows 7 or Mac with internet access and of course the software that came with any handheld you might have purchased.

Can I use my normals or standards?

Normals are a part of medical transcription and there are not limitations on implying normals within our systems to accommodate for final transcription needs. Provide us with the normals and we can incorporate them into our systems for easy access during our transcription processes.

Are my documents kept confidential?

We understand the HIPAA/Hi-Tech laws and sign a business associate agreement along with a confidentiality agreement with each of our clients.

Can you accommodate custom formatting needs?

Providing formatting needs is part of our job, including letterhead, templates, forms, etc., we can customized any formatting to meet your medical document specifications.

What formats can I receive my completed transcription in?

Files can be transcribed and returned to you in Microsoft Word, Word Perfect, text file or any number of formats whatever your requirements may be.

Is your process compatible with Electronic Medical Records (EMR) systems?

DBPMTs processes are compatible with most EMR/EHR systems. The DBPMTs IT team will be happy to integrate with your current EMR/EHR system.

What if I have a problem with my transcription?
